Desk height calculator: a guide to ergonomic workstation setup
The right desk height is roughly 0.404 times your body height, measured from the floor to the work surface. For a 175 cm (5'9") user, that lands at 71 cm or 28 inches, which is at the low end of the 28-30 inch range most fixed desks ship with. The desk height calculator above also estimates chair seat height (0.255 times body height), seated eye level (about 0.93 times body height), monitor top placement, and standing desk height. The ratios come from anthropometric studies that underlie BIFMA and ANSI workstation standards.
Why does it matter? A desk that is a few centimeters too high forces shoulder elevation and rotator cuff strain. A desk that is too low pulls the spine forward and stresses the lower back. Cornell University's ergonomic group reports that workers using a properly-adjusted workstation show 20-32 percent less upper-body discomfort than those at fixed-height desks.
What the desk height calculator does
The desk height calculator takes a single input (your standing height) and returns five ergonomic dimensions. The headline is the recommended sitting desk height. The grid below shows chair seat height (so your thighs are parallel to the floor), seated eye level (for monitor placement), monitor top height (slightly below eye level for a natural downward gaze), and standing desk height for sit-stand workstations.
The calculator does not measure your actual proportions. Two people the same height can have different elbow heights because torso-to-leg ratios vary. The most accurate desk height test is to sit upright with shoulders relaxed and measure the floor to the top of your elbow. That number, plus or minus a centimeter, is your ideal desk height. The calculator gives a population-average starting point.

The 0.404 ratio comes from population studies of seated elbow height as a fraction of standing height. The ratio is stable within a few percent across adult populations, with some variation between ethnic groups and between men and women (women tend to have slightly higher seated elbow height as a fraction of standing height, because their legs are proportionally shorter). The desk height calculator uses the pooled average.
The same approach gives chair seat height. Popliteal height (floor to back of knee when seated) averages 25.5 percent of body height. Setting the chair at this height keeps thighs parallel to the floor and the hip-knee-ankle joint at approximately 90 degrees, which OSHA's computer workstation guidelines list as the neutral seated posture.
The first ergonomic workstation guidelines for office computers were published by ANSI as HFES 100 in 1988, when desktop computers were still uncommon in offices. The standard has been revised three times since (1998, 2007, 2013), each time lowering the recommended minimum surface height to accommodate shorter users as the workforce diversified. The current BIFMA G1-2013 sit-stand range of 22-48 inches reflects this evolution.
Desk height by body height
A 150 cm (4'11") user needs a 61 cm (24 in) desk. A 175 cm (5'9") user needs a 71 cm (28 in) desk. A 195 cm (6'5") user needs a 79 cm (31 in) desk. Standard fixed desks come at 28-30 inches, which fits users between 175 and 190 cm reasonably well, but leaves shorter and taller users compensating with chair adjustments or footrests.
Petite users (under 165 cm) often end up at desks that are 4-6 cm too high. The fixes are: lower the desk if adjustable, use a footrest to fake correct seated posture at the standard height, or buy a desk with a deeper adjustable range. Tall users (over 190 cm) face the opposite problem and benefit from sit-stand desks that extend above the standard ceiling.

Chair seat height and the feet-flat rule
Chair seat height is the second number most people get wrong. The seat should be set so feet rest flat on the floor (or a footrest) with thighs parallel and knees at about 90 degrees. Too high and your feet dangle, putting pressure on the back of the thighs and restricting blood flow. Too low and your knees rise above your hips, which forces the lower back to round.
Most office chairs adjust from 40 to 55 cm (16-22 in). The desk height calculator gives the right starting point for your popliteal height. After setting the chair, sit normally and check that your elbows land at the desk surface with relaxed shoulders. If not, adjust the desk (or use a keyboard tray) rather than raising the chair past your popliteal target.
Monitor placement and eye level
OSHA recommends the top of the screen at or slightly below seated eye level, with a 10-20 degree downward gaze when looking at the middle of the screen. Distance should be 50-75 cm (20-30 in) from the eyes. The desk height calculator estimates seated eye level at 0.93 times your standing height (which approximates floor-to-eye distance in a typical seated posture) and recommends a monitor top 5 cm below that.
Laptops on the desk surface put the screen far below the recommended eye level, forcing a forward head posture. Each 2.5 cm of forward head posture roughly doubles the static load on neck muscles. The fix is a monitor stand or laptop riser plus an external keyboard. For multi-monitor setups, set the primary screen at the calculated height; secondary screens can sit slightly to the side at the same height.
Standing desk height and sit-stand
Standing desk height equals standing elbow height, which the calculator estimates at 0.59 times standing body height. For a 175 cm user, that is 103 cm (40.5 in). The same ratio principles apply: elbows at 85-110 degrees with shoulders relaxed, forearms parallel to the floor, wrists neutral. Standing too long in one position causes its own problems (lower-back strain, leg fatigue, vein pooling) so alternation is the goal.
OSHA and Cornell both recommend switching between sitting and standing every 30-45 minutes. Sit-stand desks are the easiest way to enable this. If your desk lacks programmable presets, mark the correct sitting and standing positions on the column with a piece of tape. Sit-stand transitions feel disruptive without a reliable target. OSHA, BIFMA, and the adjustable range
ANSI/BIFMA G1-2013 sets the standard adjustable range for sit-stand workstations at 22-48 inches (56-122 cm). The lower bound covers a 5th percentile US woman seated; the upper bound covers a 95th percentile US man standing. Most modern adjustable desks span this range, though cheaper models stop at the standard sitting range (22-30 inches) or the older sit-stand range (28-46 inches). For a long-term workstation purchase, the wider range is worth the extra cost.
Desk height mistakes to avoid
Three common mistakes: first, accepting the standard 30-inch desk regardless of body height. Standard suits an average-tall user reasonably well but compromises shorter users significantly. Second, raising the chair to compensate without adding a footrest. Dangling feet kill seated posture inside 20 minutes. Third, ignoring monitor position.
